The following documents must be submitted at least 21 (twenty-one) days prior to the arrival in Buenos Aires of the vessel or aircraft transporting your goods.
NOTE: Please be sure to pre-alert sending copy of the AWB or B/L at least 3 working days before flight/vessel departure.

In such cases, POP CARGO will make all reasonable efforts to ensure delivery before the
show opens, however no guarantees can be given. The surcharge will apply regardless of delivery date to the show site.

Invoice must be printed on exhibitor’s letterhead (do not use freight forwarder’s forms) in
Spanish or English.
For temporary imports, we require a proforma invoice and;

Important: to assist with customs clearance, provide a descriptive brochure, catalogue or internet site with photographs depicting the goods.
Packing List: a clear and comprehensive packing list is required, clearly stating which items
are contained in each package.
IMPORTANT NOTE: All shipments being imported into Argentina are opened and matched against commercial invoice/packing list by Customs Representatives. Please do not place any items in your boxes that do not appear on your commercial invoice/packing lists. Providing inaccurate or untrue information to the Customs Service will result in high fines and even non-delivery of goods in time for the show. All applicable fines will be invoiced to exhibitor at cost.

TEMPORARY ADMISSION (if applicable)
For the transportation of exhibits, exhibitors are advised to use strong packing cases that can withstand unpacking and repacking. For main exhibits, we recommend the use bolted returnable type of cases. This will avoid unnecessary repair and reconstruction of cases in the event of damages due to handling whilst in transit.
Empty cases will be stored within the exhibition site if space is available. Your cases will be marked and stored systematically under shelter during the exhibition period in order to expedite retrieval for the repacking at the end of the exhibition.
All wood-packing materials used in international shipping must be certified and stamped with the approved by IPPC stamp, prior the international shipping. International air, sea and road freight shipments containing wood-packing materials may be checked by Argentine agricultural authorities for compliance with ISPM15 regulations before being allowed to enter the country.
It is the responsibility of each exhibitor to arrange insurance covering transport to the exhibition, during the exhibition, and the return of the materials to point of origin, covering the period that exhibits are handled by us. One original copy of the Insurance Policy is required to be sent with documentation.
If you are exhibiting bulky or heavy equipment requiring special handling to place it on your stand, we kindly ask you to supply us with a layout drawing to scale and a brochure depicting the product so that items can be positioned early during the build-up period. Any such items will be positioned on time only. Charges for secondary lifting/repositioning will be assessed on a time and labour basis. Please forward stand plan copies and a brochure with your documentation.
The venue in Buenos Aires is not a customs bonded area and temporary imports will require a Temporary Import Bond provided by us.
Bond is only valid for two months from date of Customs clearance. Where goods are left pending sale or sold, please note that extensions may be necessary.
Temporary Import of Medical Equipment is subject to local health authorities’ approval. Please contact us immediately should you need to ship this type of materials.
Return of exhibits after closing date: approximately 2-3 weeks are required for the preparation of all documentation for re-export of exhibits and obligatory Customs inspection. If you request that your exhibits be forwarded to another exhibition instead of returning to origin, please send detailed instructions along with your documentation.
All products imported under temporary admission in Argentina must be either returned to origin or sold to a licensed Argentine importer. Goods CANNOT be sold during the show; after the event they must return to Customs control. Once the cargo is in our warehouse, the exhibitor and an Argentine importer can start the nationalization process and pay all duties and taxes. Storage charges pending completion of Argentine customs formalities will be at the exhibitor’s expense. Transportation to designated storage area and bond extensions will also be at the exhibitor’s expense.
All permanent imports into Argentina require licenses. After receiving final invoices we will apply for licenses and confirm if goods are suitable to be shipped.
All trade advertising, giveaways, promotional literature and expendable items must be shipped only as DEFINITIVE ADMISSION.
Duty rates in Argentina are very high, with an average rate of 80% on CIF value. Be sure to declare the correct prices, as Customs may not agree with the declared value, causing delay and significant penalties. An Official Price List may be required.
Electrical, gas and medical equipment: definitive import of these kind of goods require Product Registration prior to entering the country. This process can take at least 3 months and high costs will apply. Exhibitor will have to provide the documents required to register product. We strongly recommend temporary import of these types of products.
DO NOT ship any alcohol, beverages or food products.
We do not recommend sending advertising material by courier, but if you do plan to send any items by courier, please contact us for advice before shipping.
Courier companies cannot deliver shipments weighing more than 50 kg, exceeding a value of USD 1,000, or containing items which require licenses.
All courier shipments must be sent duties and taxes paid. Handling and delivery charges will apply for couriers consigned to us.

a. Set-Up and Dismantling of Exhibition Space
Exhibitor must comply with the provision of all technical manuals and other electronic or printed guidelines published by Organizer relating to the Congress including, in particular, as they relate to the set-up, use and dismantling of Exhibitor's booths or stands at the Exhibition Space.
Exhibitor is solely responsible for all costs and expenses incurred in execution of the design, installation and delivery of its displays to and its dismantling and/or removal from the Congress site. Exhibitor's displays at the Congress, and any special decorations and fittings, shall be subject to approval by the Organizers.
The Organizer will not approve displays or decorations which do not comply with its standards for the Congress, unless and until the necessary changes required by the Organizer have been made.
Exhibitor undertakes to observe the timetable designated for completion of its display before the Congress opening and its dismantling of its exhibits at the close of the Congress.
Any exhibitor who has not commenced exhibit construction/decoration one hour prior to event opening, is subject to removal by the Organizer at its own discretion. Moreover, the exhibitor is then liable to the Organizer for the agreed exhibit rental fee. The exhibitor is not entitled to damage claims.
Only exhibitors, working staff, and appointed contractors with valid entrance badges are allowed to enter the venue during the move-in and move-out period.
No dismantling or packing of the display before the designated hour is allowed. It is the Exhibitor's responsibility to pack and remove or consign for shipment all items of value prior to leaving their exhibition unattended, otherwise the Organizer will arrange for their removal at the Exhibitor's risk and sole expenses.
The Exhibition Space must be handed back to the Organizer in its original condition. Exhibitor shall be responsible to ensure that all debris and waste material are completely removed from the Exhibition Space at the end of the Congress in accordance with the Organizer's instructions on waste management. In case of damage or loss resulting from Exhibitor's failure to comply with this requirement, all costs associated with the cleaning, repair and replacement of the Exhibition Space or any accessories made available to the Exhibitor as part of the Exhibition Rights will be charged to the Exhibitor.
Exhibitor shall be solely responsible to ensure that its employees, exhibition staff and temporary staff comply with the latest legislation regarding health and safety at work. Organizer shall bear no responsibility for non-compliance to this requirement by the Exhibitor.
Exhibitors must make sure that the space rented for their booth remains in good condition. Exhibitors will be liable for any damage they may cause to floors, walls, columns, shell scheme equipment, or to any exhibitor's property. Exhibitors are also responsible for any damage caused by their agents or contractors.
It is forbidden to apply paint, lacquer, adhesives, and coating to the walls and/or shell scheme, and to drill holes into the floor.
The Organizer will inspect the leased areas with a representative of the venue following move-in and move-out; damages will be charged directly to the Exhibitor.
The removal and disposal of crates and booth fittings or materials are not covered in the sales of booth space and therefore MUST be arranged with the official material handling supplier for onsite storage or with your own independent contractor for offsite storage.
b. Exhibition Conduct
Exhibitor is obliged to ensure that its Exhibition Space is permanently staffed throughout Congress opening hours.
Exhibitor must maintain the Exhibition Space in a clean and orderly state and shall not cause a nuisance to any other exhibitors or delegates at the Congress.
The Exhibitor may only present and display in the Exhibition Space its own materials, products and/or services. Under no circumstances may Exhibitor promote or display in the Exhibition Space materials, products or services of a third party.
All promotional activities and all other promotional activities including interviews, demonstrations, and the distribution of literature or samples, must be confined to the limits of the Exhibition Space. Any other promotional activities by Exhibitor or by anyone on its behalf, including, without limitation, canvassing or distribution of leaflets or other promotional materials outside of the Exhibition Space, is expressly forbidden.
The use of games of chance, lottery devices, musical instruments and other sideshow practices is permitted only with written permission of the Organizer.
The provision of refreshments for Congress delegates by Exhibitor are permitted, subject to the catering regulations of the Congress building. Organizer is not liable or responsible for the quality and/or quantity of the Exhibitor’s refreshments.
Sound equipment must be regulated and directed into the Exhibition Space so that it does not disturb neighbouring exhibits. Congress management reserves the right to require the Exhibitor to discontinue any activity, noise or music that Organizer deems objectionable or a nuisance. Public Address System within the Exhibit Area must be used solely for Organizers’ needs, police and security announcements. Exhibitors’ or visitors’ announcements are prohibited.
Exhibitors and/or their representatives are not allowed to perform video capture or any media-related interviews with any participants (delegates, staff, or exhibitors) of the Congress during the event, without written consent from the Organizers.
Use of electricity shall be subject to the Organizer’s instructions. Flammable materials are not allowed to be utilized by Exhibitor. Equipment displayed or demonstrated must be installed with strict adherence to all safety requirements.
c. Exhibit booths and Displays
Exhibitor's standard booth height is restricted to 2.5m for stand of up to 18Sqm and up-to a maximum of 4.5m for island stands.
Display materials should be arranged in such a manner so as not to obstruct sight lines of neighboring exhibitors. All peninsula, corner and in-line booths must be separated from the neighboring stand(s) by means of a separation wall. This separation wall must be 2.5m high and finished on all sides.
Island booths are to be constructed to allow a contiguous 1.5m wide access path into the booth from all sides (aisles). At least 70% of the sides facing the aisles must be open.
Exhibitors should construct their own walls, with minimum 2.5m height, to divide from neighboring booths, and should NOT use other’s back walls or venue walls.
Exhibitor's exhibits must not block aisles, obstruct adjoining booths or damage the premises or equipment of the Congress. Exhibitor is required to allow sufficient see-through areas, which ensure clear views of surrounding exhibits.
All exhibit displays should be designed and erected in a manner that will withstand normal contact or vibration caused by neighboring exhibitors, hall laborers, or installation/dismantling equipment, such as fork lifts. Displays should also be able to withstand moderate wind effects that may occur in the exhibit hall when freight doors are open. Exhibitors should ensure that any display fixtures such as tables, racks, or shelves are designed and installed properly to support the product or marketing materials to be displayed.
Unfinished portions of pop-up displays must be covered. Pop-up framework, raw wood or cardboard wings must be painted or appropriately covered if visible from another booth.
It is mandatory that all exhibit booths are carpeted or have some type of professional looking floor covering. All edges must be secured. 100% of your booth floor space must be covered. All flooring must be neat and clean. No frayed edges allowed. All edges of carpet must be taped down – double sided tape is acceptable. Duct tape is not allowed to secure flooring. You must return the floor to its original condition, including removal of adhesive carpet tape – otherwise exhibitors will be charged for any damage. Should the Organizer have to provide carpeting – it will be done at the exhibitor&rss expense.
All exhibiting companies are required to be in compliance with the Americans with Disabilities Act (ADA), and are encouraged to be sensitive, and as reasonably accommodating as possible, to attendees with disabilities. Information regarding ADA compliance is available from the U.S. Department of Justice ADA Information Line (800-514-0301).
All materials used in display construction or decorating should be made of fire-retardant materials and be certified as flame-retardant. Samples should also be available for testing. Materials that cannot be treated to meet the requirements should not be used. A flame-proofing certificate should be available for inspection. Exhibitors should be aware of local regulations regarding fire/safety and environment which must be adhered to. Exhibitors should dispose of any waste products they generate during the exhibition in accordance with guidelines established by the Environmental Protection Agency and the facility.
Please note that all custom-built booths require special approval. Booth renderings and complete specifications must be submitted to the Organize by July 25, 2022 (This email address is being protected from spambots. You need JavaScript enabled to view it.) for approval.
Organizers, the venue and/or local authorities can enforce an order of dismantling of booths and exhibits that have not been approved or do not follow the regulations. Frequent inspections will be held during the exhibition period. Please adhere to the regulations strictly, for safety purposes.
d. Security
The Organizers of TTS 2022 Congress will take every reasonable precaution to secure the Exhibit Area throughout the duration of the Congress. Exhibitors should take special care to ensure that their goods are safeguarded and should not leave their stands unattended during move-in, move-out, and during official congress hours. The Organizers cannot be held responsible for any loss, damage or accidents that may occur to any exhibitor’s property or personnel. Exhibitors must arrange for full insurance cover. Additional individual security can be ordered through the official venue security contractor.
